Legal and accounting

A practice sells expertise by the hour, then spends hours on intake forms, chasing documents and reminders that nobody pays for. That admin is where the margin goes.

A working day

Illustration of a typical day in this industry, not a client’s.

  1. 08:20The inbox: two clients sent bank statements as phone photos, one sent nothing. The deadline is Monday.
  2. 09:30A client meeting. The phone rings twice under the table. An unknown number, no message.
  3. 11:40Yesterday’s new client: name, company code, the matter and the engagement letter, all typed by hand from an email thread. Not billed.
  4. 15:50The third reminder this week to the client who still owes the invoices. Written by hand, and again not billed.
  5. 18:05The unknown number gets a call back. They needed an accountant this week and signed with the practice that picked up.

Where clients slip away

  • The first hour with a new client goes unbilled

Name, company code, the matter, the documents, the engagement letter, the power of attorney. An intake form on your site collects all of it before the first meeting and writes it into one client record, so the first billed hour starts with the work, not with typing.

  • Chasing documents before a deadline

The bank statement, the missing invoice, the unsigned power of attorney. Automated follow-up asks for each one on a schedule, in your words, and stops as soon as the file arrives. You see one list of who still owes what instead of writing the third reminder yourself.

  • The admin between billable hours

Filing the day’s emails under the right client, moving a meeting, sending an invoice, checking which deadlines fall next week. An assistant in WhatsApp or Teams does each of these from one sentence and logs what it did, so the hour after the last meeting stops being an admin hour.

What an assistant looks for

Asked for an accountant for a small company, assistants name practices whose pages say which company types and which services they take on. Generic “full range of services” pages get skipped.

Questions from this industry

Our work is confidential. Can an AI system touch client files?

Only what its written tasks allow, inside accounts in your name, under a data processing agreement signed before anything is connected. What it may and may not say about a matter is written down the same way your confidentiality clause is. If a client’s data cannot stay where you need it, we tell you during the audit.

Our clients expect a person to answer. Can an agent take a new-client call?

It answers, says it is an assistant, takes the name, the matter in one sentence and a good time to talk, and books the consultation into your calendar. It gives no legal or tax advice. The caller hears a calm voice instead of voicemail, and you call back with the file already open.
